Manual sendouts allow you to create and schedule one-time emails to be sent out to your selected audiences, without automation. This is ideal for newsletters, seasonal campaigns, and ad hoc messages where you want to have full control over timing and content. You can tailor the content to multiple markets, test it, and schedule it for delivery, all in one workflow.
Creating an Email Sendout
- Go to the Messages and Email area in the main menu and select New Sendout.
- Choose the Manual type of sendout.
- Give your sendout a name and an optional description.
- Select one or more marketing groups to receive the email.
- Click Enter Design Studio.
- Select an appropriate template.
- Enter a subject line and preview text.
- Build the email using your team's modules.
-
Write or paste in your content. Use Smart Pasting — click on an element and use the keyboard (cmd + x) to paste:
- Design Studio will interpret and place content like text, public image URLs, links, alt text, and button text into the correct fields.
- While editing, you can view a live preview of the email.
- Toggle Preview with Data to check dynamic content.
- Switch between mobile and desktop views for layout previews.
- When working every change is automaticlly saved. When satisfied use the Publish button. The last published version will be sent out.
- When you're finished with the design, close the Design Studio.
Testing the Email
- In the Design Studio, use the Test Mail feature to send a test email to yourself or your team.
-
Review the test email on popular platforms such as:
- Mobile email apps
- Gmail or other widely-used desktop clients
- After reviewing, make any necessary adjustments in the Design Studio before proceeding.
Localisation
- In the Design Studio switch to Localization Mode to:
- Translate content for each market variant.
- Adjust specific content per market if needed.
- Use Visibility Settings to hide elements that shouldn’t appear in certain markets.
- Make sure to Publish the updates (the publish button will publish all localization and updates at the same time.)
Scheduling
- In the main sendout interface.
- Select your recipients in the Targeting section.
- Set a local send time under the Send Date and Time section.
- Activate the distribution toggle if you like to set a time period for the sendout.
- Click Schedule to queue the sendout:
- Engage will send the correct variant to the right contact at the right time.
- Its recommended to schedule the message at least 1 hour before scheduled time to allow the recipients to be prepared and not delay the messages.
- After scheduling, you can still:
- Make last-minute edits to design or localisation make sure to publish the changes.
- Stop the sendout if needed.
Sending
The sendout process will be done automatically according to your scheduling.
- Starting 1 hour before the scheduled local time the recipients will be segmented. Calculations are done for each marketing variant and are adjusted by time zone.
- The message will then be prepared in small batches where the dynamic elements, personalization and tracking are added.
- If you find a mistake it is still possible to edit the content while sending. In this case the already processed batches will not be changed but following batches and markets with a later scheduled time will get the updated version. The changes take effect after the changes are published.
You can also automate sendouts. Read about that here.
