The Point Shop Liability report gives you a clear picture of your points liability from an accounting perspective. It tracks how many points you've issued that customers have not yet used, showing your financial obligation to customers. Use it to monitor points liability month by month and by location for accurate financial reporting.
What is the Point Shop Liability report?
From an accounting standpoint, Point Shop liability represents the financial obligation created when you issue points to customers. Each metric in the report represents a different movement of points through your system: earned, used, expired, returned, or reversed. By monitoring these movements month by month and by location, you can ensure your financial records accurately reflect your points exposure and identify any discrepancies that need investigation.
How the data updates
The Point Shop Liability report updates each night with the latest point transactions. Keep in mind that if a receipt enters the system retroactively (for example, a delayed order), newly created point transactions may affect the liability figures for previous months.
Accessing the report
The Point Shop Liability report is available to you as long as your organization uses the Point Shop feature. To access it:
- Navigate to Analytics from the main menu.
- Select Point Shop Liability from the available reports.
Understanding the metrics
The report displays several key metrics that together show the complete picture of your points liability:
Opening balance
The number of points customers held at the start of the period (carried over from the previous month).
Earned
The total number of points issued to customers during the period through campaigns, purchases, or other earning rules.
Used
The number of points customers successfully redeemed for purchases in the Point Shop during the period.
Expired
The number of points that expired during the period (based on your expiry method).
Returned
Points removed from a customer's balance because items on the purchase that earned them were returned.
Reversed
Points removed from a customer's balance for other reasons.
Closing balance
The total number of points customers held at the end of the period; this is your remaining liability. It's the sum of all the metrics above, and it becomes next month's opening balance, creating a continuous chain that helps you track the flow of liability over time.
Using the report views
Summary by month
The Summary by month view gives you a high-level overview of all metrics across your chosen time period. Each column represents one month, and each row shows one metric. This view is ideal for identifying trends in your points liability and spotting unusual spikes or drops that might warrant investigation.
Table view
The Table view breaks down the same data by location (contact country) and month. This granular perspective lets you see how points liability varies by geography. Use this view to analyze regional differences in customer engagement, redemption rates, and potential compliance or operational issues by location.
Filtering your data
Use the filters at the top of the report to focus on the specific data you need:
- Time Period - Select a specific date range to analyze.
- Audience - Narrow the report to specific customer segments. At this moment, Country code (customers) is the applicable audience.
These filters apply to both views, so you can easily compare how different segments or time periods affect your overall point liability.
Using this data for accounting
The Point Shop Liability report provides the foundation for accurate financial reporting. Your closing balance each month represents your liability on the balance sheet.
Use this report to:
- Verify that your points liability figures match your internal accounting records.
- Identify periods with significant changes in liability and investigate the causes.
- Track redemption rates and ensure points are moving through your system as expected.
- Detect any unusual patterns, such as a sudden surge in reversals or expirations, that might indicate operational or system issues.
- Support your financial audit process with detailed monthly data by location.
