Staff preparations

Before launch, all staff should:

  1. Test downloading and using the membership card themselves.
  2. Familiarise themselves with common customer questions and appropriate answers.
  3. Know where posters, signage, and other materials should be placed in the store.
Staff should experience the full flow from download to checkout use to be confident in assisting customers.

How customers can download their membership card

Customers can access their card in several ways:

  1. Through the emails.
  2. Via their account on My Account / My Page.
  3. By scanning QR codes displayed in-store.
Place QR codes near the checkout or other high-traffic areas. Show visual examples of how the card looks and is used.

In-store materials

To ensure a smooth customer experience, we recommend:

  1. Posters and signs with clear QR codes and instructions.
  2. Leaflets explaining the benefits of the membership card.
  3. Digital screens (if available) showing the card.
Place materials close to the checkout or other interaction points. Keep materials simple, clear, and visually appealing.

FAQ

What is my pass used for?

The WasHere pass can be installed either in Apple Wallet or Google Wallet and is therefore not dependent on any other installed app. Once in the wallet the pass will hold information about your membership such as bonus points, membership level, upcoming events or sales, vouchers etc.

The pass can receive push notifications with relevant information about your membership. These notifications can also be constrained to geo-locations which can be useful to receive information when visiting a store.

Furthermore, the pass will provide easier identification when shopping in-store as you can simply either tap your phone through NFC or scan the QR code in your pass. The identification can also be helpful for receiving personalized support from personnel and provide a simple tool for connecting your digital profile when visiting a store.

How do I download my card?

Scan the QR code in-store or use the link from email/My Account. The card will appear directly in Apple/Google Wallet.

Do I need a special app?

No, the card works directly in your pre-installed digital wallet.

Can I use the card immediately at checkout?

Yes, scan the card at checkout and you will automatically be identified.

What if the card doesn’t work?

Contact store staff, they can help you download the card again via QR code or My Account.

Is WasHere GDPR compliant?

Yes, WasHere is fully GDPR compliant with built-in consent management, data subject request handling, and data retention policies. WasHere will work as sub-processor and will only keep necessary functionality data. WasHere will never use any customer data for marketing or sales purposes and will not share any data to third parties other than for strictly functional purposes.

Can I receive offers or notifications on my phone?

Yes, push notifications are sent directly to your wallet, so you don’t need to install a separate app.

What if I lose my phone or delete the card?

You can download the card again using the same link or by logging in to My Account.

Can I share my card with someone else?

No, the card is personal and linked to your account.

Is there a cost to download or use the card?

No, the card is completely free for all members.

What happens if my terminal doesn’t recognize the card?

Staff can manually verify your membership using your email or phone number linked to the account.
